Job Description

Valbrian Enterprises Ltd is a local, family company that owns and manages commercial property including Park Plaza, which consists of several serviced and non-serviced offices.

You will be an integral part of a very small, friendly team, with lots of variety every day.

We are looking for someone with bags of enthusiasm and a friendly, outgoing nature as you will be supporting clients based in the offices every day. You will need to be comfortable dealing with a variety of situations, typical with managing and promoting over 40 busy serviced offices. No two days are the same and we would hope the successful applicant is keen to adapt the role to their strengths.

Ideally you would have front of house, customer service and some marketing experience, but a can-do attitude, ability to work on your own initiative within a small, friendly team are essential.

The Role:

To assist in the smooth running and management of the Valbrian Property Portfolio - encompassing Park Plaza Office complex plus two small industrial estates.

The Front of House Manager & Marketing Assistant will be based at Park Plaza, Cannock, and report to the asset manager to ensure tenants’ needs are met and carry out administration and organisational duties such as, but not limited to:

· assisting in the overseeing of facility maintenance

· liaising with tenants

· evaluating potential tenant applications

· organising and carrying out property viewings at Park Plaza

· supporting the promotion of the properties via social and conventional marketing.

· Assist with creating marketing materials

You will be professional in appearance and manner, have excellent organisational and customer service skills and have the aptitude to represent the company in a positive and professional manner in both face-to face and virtual/phone situations.

There will be a requirement for computer skills so it will be an advantage to be Microsoft Office proficient with a good understanding of Office 365.

There will be a requirement to undertake role specific training to ensure the full remit of the role is met, examples of which are Fire Marshall and First Aid in the Work Place training.

Responsibilities

Asset Management Support

· Liaise with the asset manager to assist with maintenance and other day-to-day issues regarding all sites

· To be the first port of call for existing tenant enquiries, requests, and issues.

· Support record keeping

Health & Safety Provision

· Support the business in all aspects of Health and Safety requirements

· Identify and report any H&S issues

· Lead on resolution of any H&S issue with relevant person(s) or third party

· Coordinate and assist in regular fire drills and fire marshalling procedures

· Ensure log maintained of qualified on-site First Aiders and Fire Marshalls

· Carry out administrative and other tasks as and when required, such as keeping health and safety files and records in order.

Marketing

· Maintain, update and distribute our existing marketing materials (printed form)

· Update our existing online social media (Facebook and Instagram)

· Maintain log of all enquiries and follow-up agency leads for all properties

· Conduct show rounds with prospective tenants of Park Plaza serviced office space

· Liaise with prospective tenants to assist in new lettings of the Valbrian portfolio.

Good experience of the following office software

· Word, Excel, Publisher, Email

Reception

· To ensure a well organised, clean and professional front desk at Park Plaza welcoming tenants and visitors positively and professionally, and to carry out general reception duties.

· Provide holiday and sickness cover for the other part-time Front of House and Management Assistant as required

General Duties

· While the government provides guidelines to reduce the risk of the spread of Covid-19, the role currently also includes the regular sanitisation of communal areas and surfaces to help ensure the highest standards of sanitation, these duties will be listed separately and under constant review.

· Any other duties as required, within reason, to ensure the smooth day-to-day running of Park Plaza and to support the asset manager

Rate of Pay - £11 - £13 per hour depending on experience
